Pushbuild

Software that helps a physical therapy practice keep patients coming back through their plan of care.

We build the business side of a therapy practice: referral sources tracked and thanked, reminders that protect the schedule, and a clear picture of visits and utilisation across clinics. Patient health information stays in your EMR and the systems set up for it, and our work uses contact details, appointment times and counts. The scope is written down and agreed before we start.

Sound familiar?

What physical therapy practices tell us before a project starts.

  • Patients start a plan of care and stop coming before it is finished.
  • We cannot tell which referring doctors send us the most patients.
  • Cancellations and no-shows eat into therapist hours.
  • With several clinics, the numbers live in separate reports nobody combines.
  • Front-desk staff chase insurance paperwork and referrals by phone and fax.

What we build

Each one is a working piece you can open and check when it's done.

Visit reminders and rebooking

Reminders before each visit, with a link to confirm or rebook, and a nudge when the next visit in a plan has not been scheduled.

Booking and scheduling systems n8n, Make and Zapier automation

Referral source tracking

Each referral logged by source and referring office, with a thank-you task and a monthly count of who sends what.

CRM setup and lead pipelines Notion and Airtable systems

Cancellation recovery

When a slot opens, the waitlist is offered it and the first yes gets it, so therapist hours are not lost.

n8n, Make and Zapier automation

Self-pay and direct-access inquiries

Website and ad inquiries answered quickly, with a booking link and follow-up until they book or decline.

GoHighLevel setup

Multi-clinic operations dashboard

Visits per therapist, utilisation, cancellations and open slots by clinic, using non-clinical figures from your scheduling reports.

Dashboards and reporting ETL and data pipelines

Referral fax and email intake

Incoming referral documents read for name, contact and referrer, then logged as a task for the front desk. The document itself stays in your records system.

PDF and document data extraction

Physical therapy software we work with: WebPT, Prompt Health, Raintree, Jane App, Clinicient, Net Health.

And the general tools around it: Google Sheets, HubSpot, GoHighLevel, Twilio, Zapier, Make.

Example projects

Illustrations of the shape of the work, not past clients. Yours gets its own written scope.

Example project

Finishing the plan of care

Example: a clinic wants a text when a patient's next visit is not booked two days after the last one, with a link to pick a time and a flag to the front desk if there is no reply.

Scheduling system, SMS, task list

Example project

Referral partner scorecard

Example: a three-clinic group wants each referring office counted by month, with a reminder to thank the top ones and call those who have gone quiet.

CRM, Google Sheets

Example project

Four clinics, one weekly page

Example: a group wants visits per therapist, cancellations and open slots for each clinic, taken from non-clinical scheduling reports and shown together every Monday.

Scheduling export, dashboard

Questions people ask first

Will patient health information go into the tools you build?

No. Treatment notes and clinical records stay in your EMR and the systems set up for them. We work with scheduling details, contact details and counts.

Can you work with our EMR?

If it offers an API or standard reports and exports, yes. We check what it allows first, and say so plainly if it allows very little.

Do you make compliance claims?

No. Your practice and its advisers decide what is acceptable, and we build to that.

How do we start?

Tell us your EMR or scheduling system and the task that costs the front desk the most time. We reply with questions or a written scope.

Tell us what you need built.

Email a few lines about what you want and which tools you use, or call. We reply with questions or a written scope.
