Pushbuild

AI automation that takes one job off your team's plate.

Start with the one workflow that costs you the most hours. We build the AI step and the plumbing around it inside the tools you already run, test it on your real cases, and hand it over with the notes to run it. The scope is agreed in writing before we start.

Sound familiar?

What we hear from businesses before a project like this starts.

  • We bought ChatGPT seats and nothing about how the work gets done changed.
  • Someone on the team copies data out of emails into the CRM all day.
  • Every inbound enquiry gets read, sorted and forwarded by hand.
  • We tried an automation tool, it broke quietly, and nobody noticed for a month.
  • We have a dozen ideas for AI and no idea which one is worth doing first.

What buyers usually need

The requests that come up most often for this kind of work, and what each one takes to work properly.

01

Read incoming emails and act on them

An inbox watcher that classifies each message, pulls out the fields that matter, and creates the record or task in the right system, with anything unclear sent to a person.

02

Qualify and route inbound leads

Each new enquiry scored against your own criteria, enriched, assigned to the right person and answered within minutes.

03

Turn documents into data

Invoices, forms, contracts or scans read by a model, checked against rules, and written into your spreadsheet, CRM or accounting tool.

04

Draft the routine replies

First drafts of quotes, follow-ups or support answers written from your own templates and data, waiting for a person to approve and send.

05

Weekly summaries nobody has to write

A scheduled report that pulls from your tools and explains what changed in plain language.

06

Know which idea to do first

A short review of your workflows that ranks them by hours saved and risk, so the first build is the one that pays back.

Tools that come up most: OpenAI, Claude, Gemini, n8n, Make, Zapier, HubSpot, GoHighLevel, Google Workspace, Microsoft 365, Slack and Airtable.

What you get

Concrete pieces, each one something you can open and check when it's done.

A workflow map

The current process written down step by step, with the hours it costs and the point where AI actually helps.

Process map, time estimate

The AI step

Prompts, model choice and structured output, tested against a set of your real examples before anything goes live.

OpenAI, Claude, Gemini, structured outputs

The plumbing around it

Triggers, API connections and error handling so the automation runs on its own inside your existing tools.

n8n, Make, Zapier, webhooks, APIs

A human checkpoint

A review queue for anything the model is unsure about, so nothing wrong reaches a customer unseen.

Slack or email approvals, review sheet

Failure alerts

If a step fails or the volume looks wrong, someone is told the same day instead of next month.

Alerts, run log

Handover notes

What it does, where it runs, what it costs per month to operate and how to switch it off.

Written runbook, walkthrough

Typical projects

Example packages to show the shape of the work. These are examples, not past clients; yours gets its own written scope.

Example package

First workflow

One repetitive workflow automated end to end, with an AI step, a review queue and alerts.

You get

  • Workflow map and the agreed success measure
  • Automation built in your own accounts
  • Test run on a set of your real examples
  • Runbook and a walkthrough call

Example package

Inbox to CRM

Incoming emails or form messages classified, the key details extracted and the right record created automatically.

You get

  • Classification rules written with you
  • Field extraction into your CRM or sheet
  • Review queue for low-confidence messages
  • A log of every message handled

Example package

Lead response in minutes

New enquiries qualified, assigned and answered with a drafted first reply within minutes of arriving.

You get

  • Scoring against your criteria
  • Owner assignment and notification
  • Drafted first reply for approval or auto-send
  • Weekly summary of lead volume and response time

Example package

Workflow review

A short review of how work moves through your business, ranked by where automation would save the most time.

You get

  • Interviews with the people doing the work
  • A ranked list of candidate workflows
  • Rough effort and risk for the top three
  • A written scope for the first build

How we approach it

The habits that keep this kind of project from going wrong.

1

One workflow first

We start with the single job that costs the most hours and prove it works before touching the next one.

2

Measured against today

We write down how long the job takes now, so after launch you can see what changed rather than take our word for it.

3

A person stays in the loop

Anything customer-facing or uncertain goes to a person to approve until you decide it has earned the right to run alone.

4

Your accounts, your keys

Automations and AI keys live in your own accounts, so you can see the running cost and nothing is locked to us.

How we work

A written scope first, then working progress you can check, then a proper handover.

  1. You describe it

Tell us what you need in your own words, and which tools you already use. A few lines is plenty to start.

  2. A written scope

We reply with a short written scope: what gets built, what is out of scope, which accounts we need, and how we'll both know it works. You know what you're getting before work begins.

  3. Milestones you review

The work is split into milestones. At each one you see it working in your own account and sign it off before we go on.

  4. Handover and a 30-day fix window

You get the working system, its documentation and a walkthrough. If anything we built breaks in the next 30 days, we fix it at no charge.

What shapes the scope

  • How many systems the workflow touches
  • How messy and varied the incoming material is
  • Whether replies go straight to customers or to a person first
  • Volume per day

Always included

  • A written scope before work starts
  • Milestones you review and sign off
  • Documentation and a walkthrough at handover
  • A 30-day window for fixes, at no charge

Pushbuild has built software for businesses since 2010, for more than 40 clients. Every project is led by a former public-company CTO, from Groton, Massachusetts. See products we've built.

Questions people ask first

Which AI model do you use?

Whichever does the job reliably at the lowest running cost. We test the options on your real examples and tell you in the scope which we chose and why.

What does it cost to run each month?

Usually a small amount in model and automation-tool usage, billed to your own accounts. We estimate it in the scope from your volume.

Will it make mistakes?

Sometimes, so we design for it: low-confidence cases go to a person, every run is logged, and failures send an alert.

Is our data sent to the AI company?

The text the model reads is sent to the provider's API. We use providers whose business terms say API data is not used for training, and we keep sensitive fields out where the job allows.

How long does it take?

A first workflow usually takes one to three weeks from the signed scope, depending mostly on access to your tools and how quickly we get example data.

What happens after handover?

For 30 days we repair anything we built that does not work as the scope describes, at no charge. After that, further work is scoped the same way and agreed with you before we start.

Tell us what you need built.

Email a few lines about what you want and which tools you use, or call. We reply with questions or a written scope.
