Pushbuild

A Notion or Airtable workspace your team actually uses, instead of twelve spreadsheets.

We design the database behind your work, build the views or interfaces each person needs, move your existing data in, and automate the hand-offs. Built in your own Notion or Airtable account, with a guide and training so your team can run it.

Sound familiar?

What we hear from businesses before a project like this starts.

  • Our client list, projects and tasks live in a dozen spreadsheets that disagree.
  • We started in Notion and it turned into a maze nobody can find anything in.
  • Partners and staff need different views of the same records, and we keep copying data between them.
  • Reporting for our board or grant funders takes days of manual counting.
  • We outgrew a simple Airtable base and it's slow and confusing now.

What buyers usually need

The requests that come up most often for this kind of work, and what each one takes to work properly.

01

A proper relational structure

Tables for each real thing (clients, cases, projects, people) linked instead of copied.

02

Interfaces for each role

Staff, managers and partners each see and edit only what they need.

03

Data moved in cleanly

Existing spreadsheets mapped, de-duplicated and imported, with a count of what went in.

04

Automations for the hand-offs

Intake forms, assignment, reminders and status updates without anyone chasing.

05

Reports without counting by hand

Dashboards and summaries for leadership, funders or clients that update themselves.

06

Connections to other tools

Links to email, calendars, forms and accounting through native integrations or n8n, Make and Zapier.

Tools that come up most: Airtable, Airtable Interfaces, Notion, Notion databases, Softr, Fillout, Zapier, Make, n8n, Google Workspace and Slack.

What you get

Concrete pieces, each one something you can open and check when it's done.

You get

  • Structure agreed in writing
  • Data imported and de-duplicated
  • Views for each team
  • Guide and training call

Example package

Intake and case tracking

A form-to-assignment workflow with reminders and status updates.

You get

  • Intake form
  • Automatic assignment rules
  • Deadline reminders
  • Status updates to the right people

  • Notes on how each number is counted

Example package

Untangle an existing workspace

An overgrown Notion or Airtable setup reorganized so people can find things again.

  • Archive of unused pages and tables
  • Short guide to the new layout

How we approach it

The habits that keep this kind of project from going wrong.

1

Design on paper first

We agree the tables and links with you before building, because restructuring later is the expensive part.

2

Built around real roles

Each interface is designed with the people who will use it, not just the person paying.

3

Counted migration

We report how many records went in, how many were merged and why any were skipped.

4

Yours to run

Everything lives in your account, and the guide is written so your team can change it without us.

How we work

You know what you're getting before work begins, and you see it working at every milestone.

  1. You describe it

Tell us what you need in your own words, and which tools you already use. A few lines is plenty to start.

  2. A written scope

We reply with a short written scope: what gets built, what is out of scope, which accounts we need, and how we'll both know it works. You know what you're getting before work begins.

  3. Milestones you review

The work is split into milestones. At each one you see it working in your own account and sign it off before we go on.

  4. Handover and a 30-day fix window

You get the working system, its documentation and a walkthrough. If anything we built breaks in the next 30 days, we fix it at no charge.

What shapes the scope

  • How many tables and roles
  • How much data needs moving and how clean it is
  • Which other tools it connects to
  • Airtable or Notion plan limits

Always included

  • A written scope before work starts
  • Milestones you review and sign off
  • Documentation and a walkthrough at handover
  • A 30-day window for fixes, at no charge

Pushbuild has built software for businesses since 2010, for more than 40 clients. Every project is led by a former public-company CTO, from Groton, Massachusetts. See products we've built.

Questions people ask first

Airtable or Notion: which is right?

Airtable suits structured records, permissions and automations; Notion suits documents and lighter tracking. We recommend one in the scope, and sometimes it is both.

Can partners outside our organization use it?

Yes, through Airtable Interfaces, shared views or a portal tool like Softr, limited to the records they should see.

Is it safe for sensitive information?

It depends on your obligations. We will tell you in the scope what Airtable's and Notion's terms cover, and keep fields that shouldn't be there out of the system.

Do you need my login?

No. Add us as a collaborator with the access the scope needs and remove us at handover.

How long does it take?

Most builds take one to three weeks from the signed scope, mostly depending on how much data needs cleaning.

What happens after handover?

For 30 days we repair anything we built that does not work as the scope describes, at no charge. After that, further work is scoped the same way and agreed with you before we start.

Tell us what you need built.

Email a few lines about what you want and which tools you use, or call. We reply with questions or a written scope.
