Sound familiar?
What childcare centers and daycares tell us before a project starts.
- The waitlist is a notebook and a spreadsheet, and the two do not match.
- Parents ask about tours at all hours, and we answer them between diaper changes.
- Enrollment forms come back incomplete and we chase them for weeks.
- Late tuition reminders are awkward, so they do not go out on time.
- Staff swap shifts by group text, and the director rebuilds the schedule after.
What we build
Each one is a working piece you can open and check when it's done.
Tour requests and waitlist
A tour booking page, a quick reply to every inquiry, and a waitlist that shows each child's age group and start date in one list.
Booking and scheduling systems CRM setup and lead pipelinesEnrollment packet follow-up
A checklist per family for forms, immunization paperwork and payment setup, with a polite reminder until each item is in.
n8n, Make and Zapier automationParent messages and reminders
Closure notices, picture-day reminders and event notes sent once to the right classroom group by text or email.
API integrations and data syncTuition reminders
Friendly reminders before and after the due date, with the director seeing only the accounts that are really overdue.
Stripe integration and billing QuickBooks, Xero and HubSpot integrationsStaff schedules and coverage
Shifts, ratios by room and swap requests in one sheet, with an alert when a room would be short.
Google Sheets and Apps Script automationDirector's weekly view
Enrollment, openings by age group, waitlist length and open tasks on one page for the Monday check-in.
Dashboards and reportingChildcare software we work with: Brightwheel, Procare, HiMama, Kangarootime.
And the general tools around it: GoHighLevel, Google Sheets, Calendly, Stripe, QuickBooks, Mailchimp, Zapier, Make.
Example projects
Illustrations of the shape of the work, not past clients. Yours gets its own written scope.
Example project
Inquiry to scheduled tour
Example: a center with a long waitlist wants each inquiry to get a text asking the child's age, then a link to book a tour for the room that has space, and a reminder the day before.
A web form, text messages, a booking calendarExample project
Enrollment checklist
Example: a new family receives a short list of forms to return. The director sees which are still missing, and families get a reminder every few days until the packet is done.
Forms, a tracking sheet, scheduled remindersExample project
Ratio alert for the schedule
Example: a director keeps a shift sheet by room. When a call-out leaves a room below the staffing level she needs, she gets a text with the room and the time.
Google Sheets, Apps Script, text alertsQuestions people ask first
Do we have to switch from our childcare app?
No. We connect what you have to forms, calendars and email. If something cannot connect, we say so in the scope.
What about children's records?
Health, attendance and other child records stay in the systems set up for them. We keep to contact, scheduling and billing reminders and agree in writing which details any tool may use.
Who owns what you build?
You do. It is built in your own accounts, and you get notes on how it works so your team can change it without us.
