An off-the-shelf CRM or a custom one?

Most small businesses should start with an off-the-shelf CRM such as HubSpot, Pipedrive, Zoho, GoHighLevel or Salesforce, set up for how they actually sell. A custom CRM makes sense when your process is unusual enough that you are fighting the software every day. This page helps you tell which situation you are in.

Choose off the shelf when

  • You sell in a fairly standard way: leads, deals, stages, follow-ups
  • You want email sync, calendar booking and reporting on day one
  • Your team will use something familiar more readily than something new
  • The main problem is that the CRM you have was never set up properly

Choose custom when

  • Your records do not fit leads and deals: jobs, units, shipments, cases, members
  • You pay for many seats but use a small part of the product
  • You keep a spreadsheet next to the CRM because the CRM cannot hold what matters
  • The CRM has to sit inside a larger system, such as a client portal or an operations app

Often the answer is in between

A standard CRM, properly configured, with custom pieces around it: an integration with your accounting or job software, a custom object, a small app for the field team. That keeps the parts that work and builds only what is missing.

Before you decide

Write down the five things a salesperson or manager does every day and the records they touch. If a standard CRM can do all five after setup, start there. If two or more need workarounds, price out a custom build alongside it.

Questions people ask first

Can you set up our existing CRM instead?

Yes. Most CRM projects are setup and integration work on HubSpot, Pipedrive, Zoho, GoHighLevel or Salesforce, not new builds.

Can we move from a spreadsheet to a CRM?

Yes. We clean and import the data, set up the pipeline, and connect the forms and inboxes where leads arrive.

Will a custom CRM be hard to change later?

It should not be. It is built with the settings you are likely to change exposed, and comes with documentation.

What happens to our data if we switch?

With either option, your records are exported and moved. We check what carries over, including notes and history, before anything changes.
