Sound familiar?
What law firms using Clio tell us before a project starts.
- Intake forms arrive by email and a paralegal retypes them into Clio.
- We open a matter and then forget to send the engagement letter.
- Consultations are booked in one calendar and Clio doesn't know about them.
- A Zap broke and a new inquiry went unanswered for days.
- I want a matter type to start the same checklist every time, and it never does.
What we build
Each one is a working piece you can open and check when it's done.
Intake to contact and matter
A web form or Clio Grow style intake creates the contact and matter with the practice area, source and responsible attorney filled in, after a lookup so existing clients are not duplicated.
n8n, Make and Zapier automation API integrations and data syncChecklists by matter type
Opening a matter of a given type creates its standard tasks and due dates, so the first steps are not left to memory.
n8n, Make and Zapier automationCalendar and booking in step
Consultation bookings appear on the right attorney's calendar and on the matter, and cancellations are carried across.
n8n, Make and Zapier automationDocuments and e-sign hand-off
Engagement letters are sent for signature when a matter opens, and the signed copy is filed back, with only the steps you approve running without a person looking.
API integrations and data syncAlerts and a safe failure path
Failed runs go to a named person with the matter reference, nothing client-facing is sent twice, and a daily check confirms the Zaps ran.
n8n, Make and Zapier automationAudit, backfill and notes
Existing Zaps are listed, inquiries missed during an outage are loaded in, and notes name each Zap, its owner and what data it touches, for your records.
Python scripts and utilitiesAlso connected on request: Clio, Zapier, Google Calendar, Gmail, Google Sheets, Slack.
Example projects
Illustrations of the shape of the work, not past clients. Yours gets its own written scope.
Example project
Web inquiry to matter
Example: a family law firm wants each inquiry from its website to create a Clio contact and an open matter, and notify the intake paralegal.
Website form, Zapier, ClioExample project
Matter type starts the checklist
Example: an estate planning practice wants opening a will matter to create the same eight tasks, due on set days.
Clio, Zapier, task templatesExample project
Consultation reminders
Example: a solo immigration lawyer wants a booked consultation added to Clio and a reminder sent to the client the day before.
Scheduling tool, Zapier, Clio, emailQuestions people ask first
Isn't there already a native connector or app for this?
Clio has a Zapier app and its own integrations with many legal tools, and often those are enough. We check yours, set the Zaps up with lookups and alerts, and use the Clio API where the app does not cover what the firm needs.
Is client data safe in a Zap?
We keep the data moved to what each step needs, use your own accounts, and note in the scope what passes through Zapier so you can judge it against your duties.
Who owns what you build?
You do. It lives in your own Clio and Zapier accounts.
