Sound familiar?
What teams that sell in HubSpot and invoice in Xero tell us before a project starts.
- Sales closes a deal and then emails finance to raise the invoice.
- Finance has no idea what was promised, so they ask again.
- Our reps keep chasing customers who paid last week.
- The same company exists three times across HubSpot and Xero.
- Renewals get invoiced late because nobody remembers the date.
What we build
Each one is a working piece you can open and check when it's done.
Deal to contact and invoice
Company, contact, line items, terms and tax rate move from the won deal to a Xero contact and draft or approved invoice, after a lookup so no one is created twice.
QuickBooks, Xero and HubSpot integrations CRM setup and lead pipelinesPayment status back on the deal
Paid, part paid and overdue status is written back to the deal or company in HubSpot, so a rep can see it without asking finance.
QuickBooks, Xero and HubSpot integrations n8n, Make and Zapier automationCredit notes, part payments and changes
A deal amount changed after invoicing, a part payment, a credit note and a lost deal that reopens are handled by rules agreed first.
API integrations and data syncAlerts when a deal does not sync
A missing billing email, an unmapped product or a Xero rejection goes to the deal owner and finance with the deal link and cause.
n8n, Make and Zapier automationBackfill of open deals and invoices
Existing customers are matched between the two systems and linked, with unclear matches listed for you to decide, before any live write.
ETL and data pipelines Python scripts and utilitiesAudit view and notes
A report lists won deals without an invoice and invoices without a deal, and notes explain the field mapping and who owns each rule.
Dashboards and reportingAlso connected on request: HubSpot, Xero, Google Sheets, Slack, Gmail.
Example projects
Illustrations of the shape of the work, not past clients. Yours gets its own written scope.
Example project
Won deal raises the invoice
Example: a marketing agency wants a deal moved to Closed Won to create the Xero invoice with the agreed line items and payment terms.
HubSpot workflows and webhooks, Xero API, Slack alertsExample project
Paid status visible to sales
Example: an IT support firm wants reps to see on each HubSpot company whether the latest invoice is paid, so they stop calling people who have paid.
Xero API, HubSpot properties, scheduled jobExample project
Annual renewals
Example: a software reseller wants a renewal invoice created thirty days before each contract ends, with the owner notified in HubSpot.
HubSpot deals, Xero invoices, emailQuestions people ask first
Isn't there already a native connector or app for this?
HubSpot and Xero both have app marketplaces, and connectors between them exist. For some teams one is enough. We check yours first. If it fits, we set it up properly. If its limits are the problem, such as how it treats line items or what it writes back, we build around them.
Will it change our existing records?
Only in the ways agreed. We match existing contacts without changing them first, show you the unclear ones, and write only after you approve.
Who owns what you build?
You do. It runs in your own HubSpot and Xero accounts, with notes on how to change it.
