Sound familiar?
What builders using Buildertrend with QuickBooks tell us before a project starts.
- Bills approved in Buildertrend are typed into QuickBooks a second time.
- Job costs in the two systems don't agree, so I can't trust my margins.
- Change orders get approved by the owner but the invoice never reflects them.
- Draws and progress invoices are built by hand in a spreadsheet.
- Subs get paid in QuickBooks and the bill still shows unpaid in Buildertrend.
What we build
Each one is a working piece you can open and check when it's done.
Jobs matched to customer jobs
Each Buildertrend job is tied to a QuickBooks customer or sub-customer, so costs and invoices land under the same job in both.
QuickBooks, Xero and HubSpot integrationsOwner invoices and draws
Progress invoices and draws are posted with their schedule of values, retainage where used, and the payments received applied to the right invoice.
QuickBooks, Xero and HubSpot integrations API integrations and data syncVendor bills and sub payments
Approved bills go to QuickBooks as draft or final bills coded to the job and cost code, and payment status is reported back so it is visible to the project team.
API integrations and data sync n8n, Make and Zapier automationChange orders and allowances
Approved change orders update the job value, and rules agreed in the scope say how allowances, overages and markup are carried to the invoice.
Python scripts and utilitiesErrors that reach a person
A bill with no cost code, a job with no match or a payment that will not apply is listed with its link, instead of being skipped.
n8n, Make and Zapier automationHistory, job cost report and notes
Open jobs are loaded from a chosen point and checked in a copy first. A job cost report compares both systems line by line, and handover notes explain each mapping.

Buildertrend, QuickBooks API, Google SheetsQuestions people ask first
Isn't there already a native connector or app for this?
Buildertrend has a QuickBooks connection, and for many builders it does the core job. We check how yours is configured, tidy the setup, and build around what it does not handle, such as your cost code structure, retainage or extra approvals.
Can this work with QuickBooks Desktop?
The sync we build targets QuickBooks Online, which has an API. If you use Desktop, we say what is realistic before the scope is agreed.
Who owns what you build?
You do. It is set up in your own accounts, with notes your bookkeeper can use.
