1. Get every lead into one place
List every source: website forms, Facebook and Google lead ads, marketplaces, phone calls, texts and email. Each one should create or update a record in one CRM, with the source recorded, so nothing lives only in someone's inbox.
- Missed calls can trigger a text back and a new lead record
- Duplicates are matched by email or phone instead of creating a second record
2. Reply in minutes, not hours
Send an immediate confirmation by email or text that says who will be in touch and when, and gives a booking link if you use one. Notify the right person by text, Slack or app alert, routed by service, area or lead source.
3. Follow up on a schedule
Write a short sequence: a second message the next day, a check-in a few days later, and a final note. Stop the sequence the moment the lead replies, books or is marked lost. Keep messages short and personal; a sequence that sounds automated undoes the speed.
4. Hand off cleanly
When a lead books or replies, the salesperson should see everything: source, form answers, past messages and the next step. Tasks and reminders come from the CRM so follow-up does not depend on memory.
5. Measure what works
Track response time, contact rate and booked rate by source. A simple dashboard shows which ads and channels bring work, not just leads.
Which CRM?
HubSpot, GoHighLevel, Pipedrive, Follow Up Boss and Jobber all handle this well, each for different businesses. If you are choosing, see off-the-shelf vs custom CRM.

Questions people ask first
Will automated replies feel spammy?
Not if they are short, specific and stop as soon as the person replies. The aim is a fast, useful first message, not a flood.
Can it text leads?
Yes, through your CRM or a service like Twilio, with opt-in and opt-out handled and US carrier registration done properly.
What if leads come from a marketplace with no API?
Many send email notifications, which can be read and turned into lead records automatically.
Do we need a new CRM?
Usually not. Most of this can be built on the CRM you already use.
