The tasks most worth automating
- Creating invoices when a job is completed or an order ships, from your CRM, job software or store
- Recording payments from Stripe, Square or PayPal against the right invoice, with fees split out
- Turning emailed bills and receipts into draft expenses for a person to approve
- Keeping customers and items in step between QuickBooks and your other systems
- Sending a weekly cash, receivables or job-profit report to the people who need it
Decide the source of truth first
For each kind of record, pick one system that owns it. Customers might live in your CRM, items in your store, and invoices in QuickBooks. A sync that lets both sides create the same record is the most common way books get duplicates.
Write the mapping down: which field goes where, which income and tax accounts each product or service uses, and what happens to refunds and partial payments.
Native connector, Zapier, or custom?
Many apps have a built-in QuickBooks connection, and it is worth trying first. Zapier or Make suits simple one-way flows. A custom integration is the better choice when you need matching rules, batch posting, class or location tracking, or a full log of what was posted and why. See Zapier vs custom automation.
Keep a person in the loop
Let the system prepare and match, and let your bookkeeper approve. Draft bills, a daily exceptions list and a clear log of every record posted keep the books trustworthy and make month-end faster rather than more mysterious.
Test before it touches real books
QuickBooks offers a sandbox company for development. Run the automation there with a month of real-looking data, compare the reports with what your bookkeeper expects, then switch on with a start date so nothing from before is posted twice.

Questions people ask first
Does this work with QuickBooks Desktop?
Partly. QuickBooks Online has the modern API most tools use. Desktop needs a connector running on a computer that has it installed, which is possible but more fragile.
Will my accountant still have control?
Yes. Automations post to accounts they choose, can create drafts instead of final records, and leave a log they can review.
What about Xero?
The same approach applies. Xero also has a full API, and most of the tasks above can be automated the same way.
Can it reconcile the bank feed for me?
It can match many transactions to invoices and bills ahead of time, which leaves fewer for a person to review. Final reconciliation stays with your bookkeeper.
