Sound familiar?
What businesses on Xero tell us before a project starts.
- Jobs and quotes live in our own system and someone keys the invoice into Xero afterwards.
- Upfront or deposit invoices need credit notes and allocations raised by hand when the payment lands.
- Contacts in Xero are duplicated and no longer match the CRM.
- Supplier bills arrive by email as PDFs and are typed in one at a time.
- I want Xero numbers in a sheet or dashboard without exporting reports every week.
What we build
Each one is a working piece you can open and check when it's done.
Invoices created from your own system
Completed jobs, orders or subscriptions in your CRM or custom software create the matching contact and invoice in Xero, with the right account codes and tax rates.
QuickBooks, Xero and HubSpot integrations API integrations and data syncCredit notes and allocations
When an upfront invoice is paid or a service is delivered, the credit note and allocation follow the rule you agreed, with a log of what was raised.
n8n, Make and Zapier automationContact matching and cleanup
Duplicate contacts found and merged, names made consistent, and the CRM and Xero kept in step from then on.
Python scripts and utilitiesBills from email and uploads
Supplier PDFs read on arrival and created as draft bills for someone to approve, with the supplier and account suggested from past bills.
PDF and document data extractionPayments matched
Stripe, Shopify or bank payouts matched to invoices so deposits are applied and the ledger agrees with the bank.
QuickBooks, Xero and HubSpot integrations Stripe integration and billingReports where you review them

Example projects
Illustrations of the shape of the work, not past clients. Yours gets its own written scope.
Example project
Custom CRM to Xero
Example: a repair business with 60 technicians keeps jobs and quotes in its own CRM. Each completed job becomes a Xero invoice for the office to check, and payments flow back to the job.
Xero API, SQL database, scheduled syncExample project
Deposit invoice credit notes
Example: a care provider bills a month upfront. When the month is delivered, a credit note is raised and allocated against the deposit invoice automatically, with a list for review.
Xero, Make, Google SheetsExample project
Branch profit view
Example: an owner with three locations wants income and costs by tracking category in one sheet each Monday, without running separate reports.
Xero API, Google Sheets, Apps ScriptQuestions people ask first
Does Xero have an API?
Yes. Xero offers a developer API, and many tools also connect through Zapier or Make. We check which route fits your case before we agree a scope.
Will you change our books?
Only what we agreed, and only in the way agreed. Where possible we create drafts for your bookkeeper to approve.
Can you work with our accountant?
Yes, and we prefer it. We ask how the chart of accounts and tax rates are set up so the integration follows their rules.
How do we start?
Tell us which system creates the invoices and what is retyped today. We reply with questions or a written scope.
Tell us what you need built.
Email a few lines about what you want and which tools you use, or call. We reply with questions or a written scope.
