Pushbuild

HubSpot automation that your team will actually use

HubSpot can route leads, update stages, create tasks and send emails on its own, but many accounts use a fraction of it while people still copy data by hand. This guide covers the workflows worth building first, what to check about your HubSpot edition, and when to connect HubSpot to the other tools you use.

Workflows worth building first

  • Assigning new leads to the right owner by territory, source or round robin
  • Setting lifecycle stage and lead status from form fills, meetings and deals
  • Creating tasks when a deal moves stage, so nothing waits on memory
  • Alerting a rep when a hot lead comes back to the site or replies
  • Handing a closed deal to onboarding or delivery with the details filled in
  • Cleaning up: formatting phone numbers, filling missing fields, flagging duplicates

What your edition includes

Which automation you get depends on your HubSpot hub and edition. Full workflows are part of the Professional and Enterprise editions, while Starter includes simpler automation. Sequences sit in Sales Hub. Check your account's settings or HubSpot's pricing pages before planning around a feature.

Connecting other tools

HubSpot's app marketplace covers many tools, and the rest can connect through its API or webhooks. Common links are booking tools, forms, accounting and ecommerce; see Calendly and HubSpot, Shopify and HubSpot and HubSpot and Xero.

Watch out for

  • Two workflows changing the same property and undoing each other
  • Enrolment rules that re-enrol contacts and send the same email twice
  • Fields nobody fills in, which break routing rules quietly
  • Automation that nobody on the team knows exists

How to start

List what your team does by hand after a lead arrives and after a deal closes. Start with the step that is most often forgotten. If your HubSpot setup needs a tidy-up first, see CRM setup and lead pipelines.

Questions people ask first

Do I need HubSpot Professional for automation?

For full workflows, usually yes. Starter has simpler automation that covers some basic jobs.

Can you fix workflows someone else built?

Yes. We start by listing what each workflow does and where they overlap, then agree what to keep, repair or remove.

Can HubSpot send texts?

Not on its own in most setups. Texting usually comes from a connected tool such as Twilio or an app from the marketplace.

Will automation send emails we did not approve?

Only emails you build and switch on. We test every workflow with test contacts before it goes live.
