1. Use the WhatsApp Business Platform
The WhatsApp Business app on a phone has no way for other software to read messages. To connect a CRM you need the WhatsApp Business Platform (Cloud API), which Meta offers for business numbers, set up in a Meta app with a permanent access token.
- A number already on the Business app can be moved to the platform, but it stops working in the app
- Messages arrive at a webhook you choose, as they are sent
2. Match people by phone number
Every message carries the sender's number in international format. Look the number up in the CRM first and only create a contact when it is new, so repeat customers stay as one record. Store numbers the same way everywhere, for example +15551234567.
3. Put each message on the contact
Add every message as a note or activity on the contact, with the time. Photos, voice notes and documents can be logged as a short label with any caption, so the record shows what was sent without filling the CRM with files.
4. Tell the right person
Post new contacts to Slack or email, or assign an owner and a follow-up task in the CRM. A new WhatsApp contact should be handled like a form lead, with the same speed and the same next steps.
5. Reply within the 24-hour window
WhatsApp allows free-form replies within 24 hours of the customer's last message. Messages you start yourself, or send after that window, need templates approved by Meta. Plan follow-ups with that rule in mind.
HubSpot or GoHighLevel?
Both work. HubSpot is searched by phone and a contact is created if none is found, then the message is added as a note. GoHighLevel can match or create the contact in one step and tag it. Pipedrive, Zoho and others follow the same pattern through their APIs.

Questions people ask first
Can I connect the WhatsApp Business app on my phone?
No. Only the WhatsApp Business Platform (Cloud API) lets other software receive messages. The phone app keeps messages on the phone.
Will it create duplicate contacts?
Not if it looks the number up first. Matching by phone number in one format keeps each customer as one record.
Can it reply automatically too?
Yes. Auto-replies for common questions and after-hours messages can run alongside the CRM sync, and stop once a person takes over.
Does it cost anything from Meta?
Meta charges for some conversations on the WhatsApp Business Platform. Check Meta's current pricing for your country before you start.
