How to get your weekly numbers into one Google Sheet

Most owners check the same few numbers every week: new deals, money invoiced, money received, what is overdue. They live in three different tools, so the check takes half an hour or does not happen. A weekly dashboard pulls them into one sheet on Monday morning and emails you what changed. Here is how to set one up, and a free n8n workflow that does it.

Example: a Monday morning dashboard from the tools you use

Pick a few numbers you will act on

A dashboard with forty numbers gets ignored. Start with the ones that change a decision:

  • Sales: new deals and their value, deals won, open pipeline
  • Money in: invoiced, payments received
  • Money owed: unpaid invoices and how much of that is overdue
  • Cards: payments, refunds and failed payments

Add more later, once the first set is part of your Monday.

One row per week

Keep the sheet simple: one row for each week, one column for each number. That makes the sheet easy to chart and easy to compare, and you can add your own columns beside it.

Use the same week every time, such as Monday to Monday in your timezone, so the numbers line up with how you think about the week.

Where each number comes from

HubSpot's search API gives deals created or closed in a date range, and the open deals. QuickBooks Online's query API gives invoices and payments by date, and unpaid invoices with their due dates. Stripe's charges list gives payments, refunds and failures for the week.

Large accounts return results in pages, so a reliable setup reads every page rather than the first hundred records.

Show the change, not only the number

The email is what gets read. List each number with its change on the week before, so a drop in payments or a jump in overdue invoices stands out.

If one tool cannot be reached, send the rest anyway and say which source failed. Half the numbers on time beat all of them a day late.

Questions people ask first

Do I need all three tools?

No. Each source can be switched off in the workflow's settings, so it works with HubSpot alone, QuickBooks alone, Stripe alone, or any mix.

Will it change anything in my accounts?

No. It only reads from HubSpot, QuickBooks and Stripe, and writes to your Google Sheet.

Can it include other tools?

Yes. Any tool with an API can add columns. We can scope that with you.

What if I run it twice for the same week?

The row for that week is updated rather than added again.
