Which one to pick

  • Mostly records that link to each other, such as clients, jobs and invoices: Airtable
  • Mostly writing: procedures, meeting notes, a team wiki: Notion
  • Both: many teams keep documents in Notion and records in Airtable, and connect them with an automation

What to check before you choose

Count the people who need to edit, since both bill per seat on paid plans, and list the other apps the data must reach. Then check each tool's current plan limits on its own pricing page.

Questions people ask first

Can Notion replace Airtable?

For light databases, often. For many linked tables, larger record counts and record-level automations, Airtable is built for it.

Is either free?

Both have Free plans. On Airtable's Free plan all users are free; paid plans on both are per seat.

Can you move data between them?

Yes. Tables export as CSV from either, and we can keep the two in sync with an automation.
