Sound familiar?
What Square merchants who keep books in QuickBooks tell us before a project starts.
- The deposit in the bank is never the same as the day's sales.
- Tips are mixed into income and I owe them to staff.
- I type the daily Square summary into QuickBooks for every shop.
- Sales tax in Square and sales tax in QuickBooks tell different stories.
- Gift card sales are booked as revenue the day they are bought.
What we build
Each one is a working piece you can open and check when it's done.
Mapping sales to accounts
Categories, items, discounts, tax and tenders each map to the QuickBooks account or class you pick, so a daily summary reads the way your chart of accounts does.
QuickBooks, Xero and HubSpot integrations API integrations and data syncTips, gift cards and refunds
Tips post to a liability account, gift card sales and redemptions are kept apart from revenue, and refunds land against the right day with their tax.
QuickBooks, Xero and HubSpot integrationsSeveral locations
Each Square location posts to its own class or location in QuickBooks, so you can see one shop at a time or all of them together.
API integrations and data sync ETL and data pipelinesAlerts when a day fails
An unmapped item, a closed period or a connection that has lapsed sends the date, location and cause to email or Slack, and the day can be re-run after repair.
n8n, Make and Zapier automationBackfill of earlier months
Past sales from the month you choose are loaded into a test company first, compared with your existing books, and only then added to the live one.
Python scripts and utilities ETL and data pipelinesDeposit reconciliation and notes
A report ties each bank deposit to the sales, fees and refunds inside it, and handover notes explain the mapping for your bookkeeper.
Dashboards and reportingThe two tools: Square, QuickBooks.
Also connected on request: Square, QuickBooks Online, Google Sheets, Slack, Gmail.
Example projects
Illustrations of the shape of the work, not past clients. Yours gets its own written scope.
Example project
Daily summary for a cafe
Example: a cafe with a Square terminal wants each close of day to post sales, tax and tips to QuickBooks as one entry, with tips held as a liability.
Square Orders and Payments API, QuickBooks Online API, scheduled jobExample project
Three shops, one set of books
Example: a florist with three Square locations wants each shop's takings in QuickBooks under its own class, so the owner can compare them.
Square locations, QuickBooks classes, Slack alertsExample project
Salon with deposits and gift cards
Example: a hair salon sells gift cards and takes booking deposits, and wants neither counted as income until the service is done.
Square, QuickBooks Online, Google SheetsQuestions people ask first
Isn't there already a native connector or app for this?
Apps that connect Square to QuickBooks exist, including ones in the QuickBooks app store, and for many small shops they do the job. We check yours first. If it fits, we set it up properly. If its limits are the problem, such as how it groups tips or handles several locations, we build around them.
Will it change our existing books?
Only in the ways agreed. We test in a copy first and compare totals with your own before anything touches the live company.
Who owns what you build?
You do. It runs in your own Square and QuickBooks accounts, with notes on how to change it.
