Pushbuild

Stripe Xero integration where each payout matches the bank line.

Charges, refunds, fees and payouts move one way from Stripe into Xero, with contacts looked up first so no one is created twice. Each run is logged, and a payment that cannot post is sent to you with the reason instead of going missing. Before we build, we write down the scope and agree it with you.

Start your integration

Sound familiar?

What businesses taking Stripe payments and keeping books in Xero tell us before a project starts.

  • The bank shows one Stripe deposit and Xero shows thirty sales, and I can't make them agree.
  • Stripe fees are sitting inside revenue because nobody splits them out.
  • Every month someone downloads a Stripe report and types it into Xero.
  • A refunded customer still shows as paid in Xero.
  • We bill in more than one currency and the totals never line up.

What we build

Each one is a working piece you can open and check when it's done.

Field mapping you choose

Each Stripe charge, product or price maps to the Xero account, tax rate and tracking category you name, and customers are matched by email so repeat buyers stay as one contact.

QuickBooks, Xero and HubSpot integrations Stripe integration and billing

Fees, refunds and disputes

Fees go to an expense account, refunds post as credit notes against the original sale, and partial refunds and lost disputes are handled by rules written down before they are built.

Stripe integration and billing API integrations and data sync

Alerts when a payment fails to post

A missing account code, an unmatched tax rate or a duplicate invoice number goes to email or Slack with the Stripe reference and the cause, and can be replayed once it is repaired.

n8n, Make and Zapier automation

Backfill from your start date

Past Stripe activity from the date you pick is loaded into a Xero demo or test file first, checked against your existing books, and only then added to the live organisation.

ETL and data pipelines Python scripts and utilities

Payout reconciliation

Each Stripe payout is recorded as one bank transaction that equals the deposit, with the charges, fees and refunds inside it listed so your bookkeeper can tick it off.

Dashboards and reporting QuickBooks, Xero and HubSpot integrations

Handover notes

You receive plain notes on the mapping, the schedule and how to change a rule, so your bookkeeper is not waiting on us for small edits.

API integrations and data sync

The two tools: Stripe, Xero.

Also connected on request: Stripe, Xero, Google Sheets, Slack, Gmail.

Example projects

Illustrations of the shape of the work, not past clients. Yours gets its own written scope.

Example project

Subscription revenue by plan

Example: a small software company with monthly plans wants each Stripe invoice to appear in Xero with the plan as a tracking category, so revenue by plan comes from the books.

Stripe webhooks, Xero API, Slack alerts

Example project

Payout that equals the deposit

Example: an online course seller wants every Stripe payout recorded in Xero net of fees and refunds, so the bank feed matches in one click.

Stripe payouts API, Xero API, scheduled job

Example project

Deposits and balances for a studio

Example: a photography studio takes a deposit by Stripe link and the balance later, and wants both to land on the same Xero invoice.

Questions people ask first

Isn't there already a native connector or app for this?

Connectors for Stripe and Xero exist, including ones in the Xero app marketplace, and for some businesses they are enough. We check yours first. If it fits, we set it up properly. If its limits are the problem, such as how it groups sales or handles fees, we build around them.

Will it change our existing books?

Only in the ways agreed. We test in a separate file first and compare totals with your own before anything touches the live organisation.

Who owns what you build?

You do. It runs in your own Stripe and Xero accounts, and the notes we hand over explain how to change it.
