Sound familiar?
What sellers who get paid through PayPal and keep books in QuickBooks tell us before a project starts.
- The PayPal balance in QuickBooks is nowhere near the real one.
- Fees are netted off sales, so my revenue looks smaller than it is.
- Transfers to the bank get counted as income twice.
- I download the PayPal activity file and sort it by hand each month.
- Refunds and chargebacks never find their original sale.
What we build
Each one is a working piece you can open and check when it's done.
Transaction types mapped
Payments received, fees, refunds, chargebacks, currency conversions and bank transfers each map to the account you choose, so none of them is mistaken for a sale.
QuickBooks, Xero and HubSpot integrations API integrations and data syncGross, fees and net
Each sale is booked at the gross amount with its fee on a separate line, so revenue and cost both show in full.
QuickBooks, Xero and HubSpot integrationsRefunds, disputes and foreign currency
Partial refunds, reversed disputes and payments in other currencies are handled by rules written beforehand, with the exchange difference placed where you want it.
Python scripts and utilities API integrations and data syncAlerts on a failed post
A missing customer, an unmapped item or a period that has been locked sends the PayPal transaction id and cause to email or Slack, to be replayed once repaired.
n8n, Make and Zapier automationBackfill of past activity
PayPal history from your chosen date is loaded into a test company, compared with the balance PayPal reports, and then added to the live one.
ETL and data pipelinesBalance reconciliation and notes
A monthly report ties the PayPal balance, bank transfers and fees together, and notes explain the mapping for your bookkeeper.
Dashboards and reportingThe two tools: PayPal, QuickBooks.
Also connected on request: PayPal, QuickBooks Online, Google Sheets, Slack, Gmail.

PayPal, QuickBooks Online, Google SheetsQuestions people ask first
Isn't there already a native connector or app for this?
Several apps connect PayPal to QuickBooks, including ones in the QuickBooks app store, and for simple cases they work. We check yours first. If it fits, we set it up properly. If its handling of fees, transfers or currencies is the problem, we build around those limits.
Will it change our existing books?
Only in the ways agreed. We test in a copy first and compare the result with the balance PayPal reports.
Who owns what you build?
You do. It runs in your own PayPal and QuickBooks accounts, with notes on how to change it.
