Is Toast a good fit for your restaurant, and what should it connect to?

Toast is a point of sale built for restaurants: orders, menus, payments, online ordering and staff tools in one system. Whether it suits you depends on how you run service and what has to talk to it. Here is what to weigh, and the connections owners ask us for once Toast is in.

Is Toast a good fit?

Where Toast suits restaurants and bars, and what to check before you commit.

  • Good fit: full-service or counter-service restaurants that want one system for the floor, the kitchen screens and online orders.
  • Good fit: groups with more than one location that want the same menu and reports across them.
  • Check first: Toast processes card payments itself, so you take its payments along with the POS rather than keeping your current processor.
  • Check first: what you can pull out of Toast depends on the access Toast grants your account and its partner integrations, so list the tools it must feed before you sign.

What to connect Toast to

Each one is a working piece you can open and check when it's done.

Daily sales into the books

Each day's sales, tips, taxes and payment types summarized and posted to your accounting software as one entry for your bookkeeper to review.

QuickBooks, Xero and HubSpot integrations

Prime cost on one page

Sales from Toast next to labor and food cost, by location and week, so you see prime cost without rebuilding a spreadsheet.

Dashboards and reporting

Menu changes everywhere

A price or item change made once, then carried to your website menu and the delivery listings you control, with a list of what changed.

API integrations and data sync

Guest follow-up

Online order and reservation guests added to your email list with their consent, so a slow Tuesday can get a note that brings them back.

n8n, Make and Zapier automation

Scheduled report exports

The Toast reports your managers already pull, loaded into a shared sheet on a schedule, so Monday's numbers are waiting.

ETL and data pipelines

What we connect Toast to: QuickBooks, Xero, 7shifts, Google Sheets, Mailchimp, OpenTable, Resy.

More on each: Automation for restaurants, Toast integrations.

Also: Toast for bars.

Illustrations of the shape of the work, not past clients. Yours gets its own written scope.

Example project

Nightly close to QuickBooks

Example: a two-location bistro whose manager typed sales into QuickBooks each night gets one summarized entry per location waiting for review each morning.

Questions people ask first

Is Toast only for big restaurants?

No. Toast sells to single locations as well as groups. The question is less about size than about whether you want its hardware, its payments and its way of running the floor.

Can Toast connect to my accounting software?

Toast offers accounting connections and partner integrations. Where those don't fit how your books are kept, we build the summary and posting ourselves from the data your account can access.

Should I switch to Toast from my current POS?

We don't sell POS systems. If you are choosing, list the jobs the POS must feed, such as the books, the schedule and online orders, and check each one before you sign.

What if Toast doesn't give us the data we need?

We tell you that at the start. Sometimes the answer is a scheduled export instead of a live connection, and we say which before any work begins.

Email a few lines about what you want and which tools you use, or call. We reply with questions or a written scope.
