Sound familiar?
What coworking spaces tell us before a project starts.
- Tour requests sit in an inbox until someone has time.
- Onboarding a member means five tools and a checklist we keep forgetting.
- Door access is not removed when a member leaves.
- Meeting room bookings and day passes do not match what we invoice.
- We cannot tell which members are likely to leave.
What we build
Each one is a working piece you can open and check when it's done.
Tour booking and follow-up
A booking link for tours, a reminder, and a follow-up with the plan options and a sign-up link for those who came.
Booking and scheduling systems GoHighLevel setupMember onboarding checklist
One sign-up triggers the agreement, the invoice, the welcome email, the door access request and a task for the community manager.
n8n, Make and Zapier automation API integrations and data syncAccess that follows the contract
Door and printer access added on the start date and removed on the end date, with a weekly list of exceptions.
API integrations and data syncInvoicing that matches usage
Room bookings, day passes and add-ons pulled into the monthly invoice and sent to the accounting software.
QuickBooks, Xero and HubSpot integrations Stripe integration and billingMember health signals
Visits, bookings and payment history combined to show who has gone quiet, so someone can say hello before notice is given.
Dashboards and reportingOperator reporting
Occupancy, revenue per desk and tour conversion by location, on a page you can open on Monday.
Dashboards and reportingCoworking software we work with: Nexudus, OfficeRnD, Optix, Cobot, Archilogic, Kisi.
And the general tools around it: HubSpot, Stripe, Xero, QuickBooks, Slack, Google Sheets, Zapier, Make.
Example projects
Illustrations of the shape of the work, not past clients. Yours gets its own written scope.
Example project
Sign-up to ready desk
Example: a coworking space has members sign an agreement online. The invoice, the welcome message and the access request are created from that one signature, and the manager gets a task for the keycard.
E-signature, accounting software, emailExample project
Leaving member clean-up
Example: when a member's end date arrives, access is revoked, the final invoice is checked and the locker and mailbox tasks go to the front desk.
Membership data, access system, task listExample project
Tour conversion report
Example: an operator with two locations wants to see tours booked, toured and signed by source each week.
CRM, Google Sheets, a dashboardQuestions people ask first
Do we have to switch software?
No. Most of the work is connecting the coworking platform you already use to the tools around it. If it cannot do what you need, we say so in the scope and lay out the options before anything changes.
Who owns what you build?
You do. It is built in your own accounts, and you get notes on how it works so your team can change it without us.
Can you connect our door system?
Often, if it has an API or a way to import and export users. We check that first and tell you in the scope.
How do we start?
Tell us which tools you use and the one thing that wastes the most time each week. We reply with questions or a written scope.
Tell us what you need built.
Email a few lines about what you want and which tools you use, or call. We reply with questions or a written scope.
