Sound familiar?
What nonprofits tell us before a project starts.
- Donations come in through three places and I merge them by hand for the thank-you letters.
- Volunteer sign-ups live in a spreadsheet that only one person understands.
- Grant deadlines and reporting requirements are in email threads.
- The board wants numbers, and pulling them takes a day.
- When a staff member leaves, half of how things work leaves with them.
What we build
Each one is a working piece you can open and check when it's done.
Donor thank-you and follow-up
A gift triggers a thank-you, a receipt if you send one, and a reminder to a person for larger gifts, all logged against the donor.
CRM setup and lead pipelines API integrations and data syncVolunteer sign-up and reminders
Shifts people can pick from a phone, reminders before they start, and a roster you can print or share.
Booking and scheduling systems Google Sheets and Apps Script automationEvent registration
Registration, ticketing or RSVP in one list, with reminders, a day-of check-in sheet and a thank-you afterwards.
n8n, Make and Zapier automation Stripe integration and billingGrant tracker
Deadlines, reporting dates and the documents each funder needs, in one place with reminders to the person responsible.
Notion and Airtable systemsCombining your data sources
Donations, email lists and event sign-ups pulled into one clean sheet, so a person appears once and the numbers agree.
ETL and data pipelines Python scripts and utilitiesBoard and funder reports
A page of the figures you report most, such as gifts, new donors, volunteer hours and attendance, updated without retyping.
Dashboards and reportingNonprofits software we work with: Bloomerang, Neon CRM, Donorbox, Salesforce, Mailchimp.
And the general tools around it: Google Sheets, Airtable, Notion, Stripe, QuickBooks, Slack, Zapier, Make.
Example projects
Illustrations of the shape of the work, not past clients. Yours gets its own written scope.
Example project
Thank-you within a day
Example: a small animal shelter wants every online gift to get a personal-sounding thank-you, with the director alerted for anything over an amount she chooses.
Donation form, email templates, a donor sheetExample project
Volunteer shifts by phone
Example: a food bank lets volunteers pick weekend shifts from a link, gets a reminder two days before, and gives the coordinator a live roster with open slots.
Forms, Google Sheets, text remindersExample project
Funder report pack
Example: a youth program pulls attendance and gift totals into one page every quarter, so the program lead only writes the story that goes with the numbers.
Google Sheets, a dashboard page, scheduled updatesQuestions people ask first
Can you work with a very small budget?
Yes. We start with the one task that costs the most staff time and build only that. Many of the tools involved have free or nonprofit plans, and we use what you already have.
Will staff turnover break it?
We write notes in plain language and keep things in tools your team already knows, so the next person can pick it up.
Who owns what you build?
You do. It is built in your own accounts, and you get notes on how it works so your team can change it without us.
How do we start?
Tell us which tools you use and the one thing that wastes the most time each week. We reply with questions or a written scope.
Tell us what you need built.
Email a few lines about what you want and which tools you use, or call. We reply with questions or a written scope.
